This is a known issue when you try to see your old e-mails as you may receive this message in Outlook “There are more items in this folder on the server”.
This mainly relates to the cached “Offline” mode for Outlook which means downloading an offline copy of your e-mails as a .ost file, so can be accessed while you are not connected to a network.
This issue can be resolved using three methods.
- Drag the Cached mode slider to ‘All‘: This means that your entire mailbox content will be downloaded and not only for some specific period. Configure the cached mode to all.
- Go to File – Account settings – Change – Drag the Mail to keep offline slider to ‘All’.
- This may affect your disk space because the entire mailbox content will be downloaded to your local disk. You can use the group policy to force this value by setting the below registry key:
- Key: HKEY_CURRENT_USER/Software/Policies/Microsoft/Office/x.0/Outlook/Cached Mode
- DWORD: SyncWindowSetting
- Value: Integer value (Decimal) specifying the number of months (use only the following values)
- 0 = All (whole mailbox)
- 1 = 1 month of email items
- 3 = 3 months of email items
- 6 = 6 months of email items
- 12 = 12 months of email items
- 24 = 24 months of email items
- Note: The x.0 placeholder represents your version of Office (16.0 = Office 2016, 15.0 = Office 2013).
- Enable ‘Online‘ mode: If you choose to use this method, you will not be able to access your emails offline anymore.
- Go to File – Account settings – Change – Uncheck the Cached Exchange Mode.
- Using the ‘Search‘ option: You can also use the Search if you remember any information from a specific message; you will then see an option of “More” to retrieve all messages that match your search.
